Accruals Commence - the default value for this field is the employee's date hired, but it can be changed.
Period of Employment (from Accruals Commencement) - these two fields will automatically be calculated from the accrual commencement date to the computer's system date. This calculation is based on whether 52 or 52.1785714 weeks per year was selected from the Company 'Payrun' tab (for yearly calculations).
Annual Leave Balance - enter the total hours of annual leave accrued to date. (ie. entitlement to date less any leave already taken.) eg. Assume an award entitlement of 4 weeks per year, Award hours of 40 hrs/wk, total hours worked to date of 1040 hrs and 24 hrs leave already taken.
Annual entitlement (hrs) = 40 hrs/wk multiplied by 4 weeks per year = 160 hours
Leave Accrual Rate = 160 divided by (40 x 52) = 0.07692 hours per hour worked
Annual Leave Balance = (0.07692 x 1040) - 24 = 56 hours
Annual Leave Taken YTD - DO NOT enter any hours taken. This field accumulates any hours taken during each finalised payrun and is posted to the employee's payrun transaction file. If you manually put hours in this section, you will get a report with a 'Payrun Transaction' marked on it (this is a sign of discrepancy between the balances and the actually transactions for this employee).
Annual Leave Start Date - enter the date which you would like the Annual Leave to start accruing. If this date is not fill in, it will default to the employee's date hired.
Sick Leave Balance - enter the total hours of sick leave accrued to date. (i.e. entitlement to date less any leave already taken.)
Assume an Award entitlement of 8 days p.a., Award hours of 40 hrs/wk, total hours worked to date of 1000 hrs and 8 hrs leave already taken.
Annual entitlement = Award entitlement (days) multiplied by Award hours (per day) = 8 days x (40 hrs/wk divide by 5) = 64 hours.
Sick Leave Accrual Rate = Annual entitlement (hrs) divided by Award hours (per year) = 64 divide by (40 x 52) = 64 divide by 2080 = 0.03077 hours per hour worked.
Sick Leave Balance = Entitlement to date minus Leave taken = (0.03077 x 1000) - 8 = 30.77 - 8 = 22.77 hours.
Sick Leave Taken YTD - DO NOT enter any hours taken. This field accumulates any hours taken during each finalised payrun and is posted to the employee's payrun transaction file. If you manually put hours in this section, you will get a report with a 'Payrun Transaction' marked on it (this is a sign of discrepancy between the balances and the actually transactions for this employee).
Sick Leave Start Date - enter the date which you would like the Sick Leave to start accruing. If this date is not fill in, it will default to the employee's date hired.
RDO's Balance - enter the balance of RDO (Rostered Days Off) hours due to the employee. RDO entitlements are detailed in each Award. The accrual rate is calculated using the leave formulae.
RDO's Taken YTD - DO NOT enter any hours taken. This field accumulates any hours taken during each finalised payrun and is posted to the employee's payrun transaction file. If you manually put hours in this section, you will get a report with a 'Payrun Transaction' marked on it (this is a sign of discrepancy between the balances and the actually transactions for this employee).
Assume an RDO entitlement of 3 hrs/wk, Award of 40 hrs/wk, total hours worked to date of 400 hrs and 16 hours already taken.
Annual entitlement= 3 x 52 = 156 hours.
RDO accrual rate = 156 divided by (40 x 52) = 0.075 hours per hour worked.
RDO's Balance = (0.075 x 400) - 16 = 14 hrs.
RDO Start Date - enter the date which you would like the RDO to start accruing. If this date is not fill in, it will default to the employee's date hired.
Long Service Leave Accrued - enter the total number of hours that the employee has accrued from the date on which employment commenced to qualify for long service. As leave is accrued, this total will increase automatically when a payrun is finalised. The Long Service Leave Report will calculate automatically any balance of accrued leave. Eg. total accrued - leave taken = accrued leave balance.
Long Service Leave Taken - DO NOT enter any hours taken. This field accumulates any hours taken during each finalised payrun and is posted to the employee's payrun transaction file. If you manually put hours in this section, you will get a report with a 'payrun transaction' marked on it (this is a sign of discrepancy between the balances and the actually transactions produced for this employee during a payrun).
Long Service Leave Taken YTD - This field shows any hours taken during the current financial year.
Balance - The field can not be edited. It is a balance of what Long Service has accrued minus what has been taken, leaving an outstanding balance. (This figure would be used to pay an employee any Termination Long Service, if entitled).
Long Service Leave Start Date - enter the date which you would like the Long Service Leave to start accruing. If this date is not fill in, it will default to the employee's date hired.
To change any accrual information, click on the 'Edit ' button. This will make the necessary fields active.
