e-mailing Payslips

As you may be already aware, a pay advice slip is just another report in e-PayDay®. Since version 9.00 e-PayDay® has included a facility to e-mail pay advice slips to employees where each employee receives just their payslip, and not everybody elses.

 

The Preparation

Any employee who you intend to e-mail a payslip to, must have an e-mail address in the corresponding field in their employee details.

 

1. From the main screen of e-PayDay® click on the 'Employees' picture button

2. Highlight the employee and click on the 'Edit' button

3. Go to the e-Personnel™ Lite (HRM) 4 tab

4. Enter the employee's e-mail address into the field provided

5. Click on 'OK'

 

The Execution

1. In the Payrun List Screen, highlight the employee who you wish to e-mail their payslip

2. Click on the 'Advices' button at the top of that button

3. In the reports window that appears, highlight the 'e-Mail Pay Advice Slips (1 Up)' report over to the left

4. Click on the 'e-Mail' button that is between the 'Preview' and 'Print' buttons

 

This will generate an e-mail to be sent by your e-mail program. You may asked for confirmation that you are sending an e-mail in this way.

 

Whilst in the reports window you can run other reports, or simply click on 'Back' to return to the Payrun Screen.

 

If there were a selection of employees then once the first employee is highlighted, hold down the CTRL key on your keyboard and highlight the others. Then take your finger off the CTRL key and click on the 'Advices' button

 

If every employee is to receive their payslip via e-mail then WITHOUT highlighting anyone, click on the 'Advices' button.
