Payee Type - Select the relevant item from Employee, Sole Trader (Individual), Corporation, Partnership, Trust, Superannuation Fund, Government Organisation, Other Non-individual.

 

Employee Code - the Employee Code will be assigned automatically, but you may change this number if necessary.  If you change the Employee Code, you must make sure that the code is unique (ie. no other exisitng employee has it as their employee code).

 

NOTE:  The number of Employees that can be added is limited depending on the product of e-PayDay® that you are currently using.

EmpClock ID - this field will be assigned automatically and cannot be changed. It's a unique identifier of an employee for the purposes of e-PayDay®. It tells e-PayDay®  which employee this is and from which company they are employed. See e-PayDay®

 

Database ID - this field used to be in the place EmpClock ID now occupies. It is assigned automatically and cannot be changed. It defines a unique place in the database for the employee. An employee's Database ID can now be found via the Search facility. See Search

 

Surname - enter the surname of the employee you wish to add.  The system will automatically capitalise this field for quick and easy reference later.

 

Given Names - enter the given names for the employee.  The system will automatically capitalise the first letter of each given name.

 

Address - enter the street address of the new employee.  There is a maximum of two lines provided for the employee's street address.

 

Suburb/City - click on the down arrow to choose the suburb or city.  This will fill in the State, Post Code and Country automatically for you.  If the address is not within Australia, type the Suburb/City in manually and choose 'OTH' (other) in the State section and select the appropriate Country by clicking on the down arrow.

 

NOTE1: Additional Suburb, State, Post Code & Countries can be added.  Full stops, commas and unauthorised abbreviations will result in rejection of your ATO Disk.

 

NOTE2:  To delete a Suburb, State, Post Code & Country, select the suburb (the rest of the information will come up automatically) and then press the 'Delete' button on your keyboard.  You will be asked if you wish to delete this information.

 

D.O.B - enter the employee's date of birth (dd/mm/yyyy or dd/mm/yy).  This is a compulsory field and may be used as a reference for pay increase dates.

 

Age - the program will automatically calculate the age of the employee from the D.O.B given calculated on the computer system's date.

 

Sex - Click on the down arrow and select M (Male) or F (Female) as applicable.

 

No. of Dependant Children - enter the employee's number of dependants if applicable.

 

Spouse - Click in the 'Spouse' box if applicable.  This field and the 'No. of Dependants' fields are important if the employee claims a Medicare Levy Adjustment.  If an employee has a spouse and children and has claimed a Medicare Rebate then the amount of Medicare rebate is deducted from the tax installment during a payrun.  The Rebate amount will depend on the following factors:

 

1. Number of Children.

2. Gross wage.

3. What classification is in the Medicare Levy field.

 

The amounts of these adjustments are detailed in the ATO Form NAT 1004 as Scales 2, 5 and 6.  It is NOT the responsibility of the user to ensure that an employee completes a Medicare Levy Variation Declaration, however it is the user's responsibility to ensure that a declaration from an employee is processed correctly.

 

Delete - Deletes the employees photo from screen.

 

Add Photo cmdemp1  if you wish to have a photo of the employee, click on this button to display the photo window.

 

1. Choose the 'drive' where this bitmap file is located.

2. Select the appropriate folder/s.

3. Select the employee's file.  This file will show on the left-hand side for easy viewing.

4. Press 'OK' and the employee's photo will then be displayed in the window.

You can also search for Employee Picture in the Search and Replace screen accessed via the Employee List screen.
