Shifts
Times must be associated with a particular Shift. For example the first shift on a typical weekday at a supermarket may be the "morning shift" starting at 7am and finishing at 12 noon.
Shifts are set up via the e-PayDay® screen, accessed by clicking on the 'Awards' pull down menu (top of main screen) and selecting "e-Award™".

On the 'Shifts 1' Tab click on the 'Add' button to add a shift to those listed. The cursor will be placed in the Description field. After entering in the description, proceed to the 'Shift Profile 2' Tab and complete the 'Shift Days' section. This must be done before clicking on the 'Save' button in the 'Shifts 1' Tab.
To edit a shift, highlight it's line, make your change(s) and then click on the 'Save' button.
To remove a shift from the list, highlight it's line, change the 'Active' field to "No" and then click on the 'Save' button.
The 'Status' and 'Sort By…' options below the list of shifts help you define which shifts are displayed and in what order, respectively.

At the top in the 'Shift Days' section place a cross next to the days on which the shift is applicable. The holidays in the drop down list next to the public holiday box are set up in the 'Public Holidays 4' Tab.
Above is an example of an afternoon shift. The precise starting and finishing times are 12 noon and 5pm respectively. However, if an employee starts up to 15 minutes beforehand or works up to 5:30 pm they are not paid any overtime. This illustrates the purpose of the two columns either side of the green column.
Any time worked after 5:30pm will constitute overtime. By the same token if the employee working this shift clocks in before 11:45 am then any time after the "five hours worked" mark will also constitute overtime.
The green boxes in between 'Day Start' and 'Day End' facilitate any breaks the employee may take. If the employee is expected to clock out and back in on their break(s) then place a cross in the box next to 'Break Scans Required'.
During any overtime worked, breaks are also allowed for by way of the 'Overtime Meal Break' section. If this break is to be paid for then place a cross in the box next to 'Paid Overtime Meal Break'.
The 'Overtime Rounding' section allows overtime to be collected together in blocks of time. In the example above, if the employee clocks in at 12 noon and clocks out at 5:51pm then overtime would amount to 60 minutes. If the employee had clocked out at 5:50pm then the overtime would be 45 minutes. This is because the last 15 minute block of time occurred at 5:45pm and the employee did not work more than 5 minutes past 5:45pm.

The hours in a shift and the overtime afterwards can be paid with selected pay rates and allowances defined in the 'Pay Type Allocations 3' Tab. In the example above the hours within the shift are paid at the 'Award Rate'. The first two hours of overtime are paid at 'Time and a Half' and the rest at 'Double Time'. The time in the green columns has to be after the 'Day End' time of the shift. If an employee working this shift stays until after 6:30pm, 'Overtime Meal Allowance' is payable.
Special Meal Break Rules facilitate the culling of hours from employees times if they forget to clock out (and back in) for their meal break. The 'Special Meal Break Rules' button will be greyed out unless the 'Break Scans Required' field is ticked and at least one break is defined in the green boxes. Once clicking on the button, the following window appears.

In the example above, if no break scans are detected then 5 hours after the start time entered,a break start time will recorded and a half an hour later a break finish time will be recorded. The same principle applies to the overtime meal break. Alternatively a tick could be placed in the top section, where the meal break times can be set and applied specifically if no break scans are detected.
